AmplifyChange regularly produces reports, social media campaigns, and events materials that need professional graphics design. With the implementation of our brand identity, having a professional and consistent supplier for graphics design is crucial to maintaining brand visibility and recognition.
The initial contract will be for one year, with possibility of extension. Supplier will operate on a retainer approach.
Scope of project/work
The scope of this contract is to cover all AmplifyChange’s graphics design needs. Graphics design work will include larger multistage deliverables such as annual reports, impact reports, and events branding and assets design, alongside smaller projects such as assets for social media campaigns.
The audiences that AmplifyChange communicates with varies, including local civil society organisations based in Africa, South Asia and the Middle East and donors based in Europe and North America. Therefore, a level of comfort designing materials that reach a wide range of audiences is needed. Our priority is to ensure our communications materials meet WCAG 2.1 AA standard accessibility requirements.
Additionally, any preferred suppliers must align with AmplifyChange’s values and be pro-choice on abortion and supportive of LGBTIQ rights, as the design work will centre around the topics we support across sexual and reproductive health and rights. Due to the responsive nature of some of the work, the designer will need to be able to work flexibly in terms of timelines.
Deliverables
Deliverables may vary based on need; however, general design needs include:
- 2026 Annual Report in French and English (translation provided by AmplifyChange); one web-based design and one PDF version
- Up to 4 impact reports per year (no more than 20 pages each, with possibility of virtual options instead of PDF)
- Event material design, including summary reports, email design, and social media assets
- Social media campaign materials and assets
- Additional miscellaneous communications design needs as identified throughout the year (eg, document redesign, infographics, donor leaflets, etc.)
Deliverables will be requested by the Communications Manager to the Supplier with a clear timeline. Supplier will confirm via email that the request has been received and agreed. Where necessary if initial timeline is not feasible or agreeable, both parties will negotiate a timeline or extension that satisfies both parties.
Key risks and assurances
- To support design work, general information and photos of non-anonymous grantee partners, organisational financial data, and anonymised portfolio-level data will need to be shared with the supplier. These resources must remain confidential and not used or shared outside of the specific project.
– As the majority of the work commissioned is intended for public dissemination and will be reviewed by the AmplifyChange team before sharing with the consultant, it is unlikely that data or images shared with the supplier will be sensitive or carry risk. - Exceeding budget
– Both parties agree to stick to the agreed annual budget unless there is a significant change to the deliverables where both parties agree to negotiate an increase in good faith.
– Supplier will provide costed pricings of each project before moving forward with the work to ensure agreement with the budget. - Non-delivery of deliverables or going over the timeline for projects
– Both parties will agree to a timeline before the project commences. In the case of a delay or other unforeseen circumstance affecting delivery, the supplier will report this as soon as possible to the Communications Manager. - Significant change in employee capacity or reduction of available team
members to complete projects
– Proactive communication with the Communications Manager will ensure that any potential barriers to completion of work can be mitigated in good time.
– Where possible and necessary, Supplier will subcontract out work to complete agreed projects within the timeframes and budgets agreed.

Reporting
The consultant will report to the Communcations Manager, Katie Northcott, as well as the Head of Operations and Donor Engagement, Lynda Davis, where needed. Some AMPLIFYCHANGE Page 3 of 5 communication and collaboration may need to be done with the Communciations Officer, Ariana Zemaryalai.
Both parties will schedule regular check-ins throughout the project timelines (minimum at the beginning and at the end of project timeframes). Depending on scope/need, this will either be via email or on a call. Both parties are able to request check-ins where needed.
Fees and expenses:
- Payment terms: Costs are determined on a per project basis, based on an agreement between Supplier and the Communications Manager. 50% of the cost will be paid up front, 50% on completion. Supplier will submit invoices clearly detailing costs to be paid per project.
- Supplier must work within the agreed annual budget.
- Expenses must be agreed in advance with the Communications Manager.
Contract duration
- Contract duration: 14 months
- Contract start date: October 2026
- Contract end date: December 2027
- Likely number of delivery hours/days/weeks: Workload will vary throughout the year and will be agreed on a project-by-project basis. Demand is expected to peak during the annual report process in May-June, when up to two weeks of work may be required within a month. Outside of this period, project requirements are expected to be lower, with some projects requiring only limited support and some periods potentially requiring no support at all.

experience designing (for example: printed, digital, visual, etc.) - Outline of proposed approach (maximum 2 pages)
- Proposed Team Composition, including how you will manage competing workloads
- Fee proposal – while we work on a per project basis, it will be helpful to know your
day rate/LoE - Portfolio or examples of previous work
Evaluation Criteria
Proposals will be evaluated on the following criteria:
- Cost efficiency / Value for Money (60%)
- Qualitative criteria (40%)

Mandatory statements
Information received from potential suppliers will be received in good faith. Any subsequent discovery of deliberate misinformation being provided or of any illegal or corrupt practices being undertaken will result in the offer being rejected or any contract awarded being terminated.
Potential suppliers mandate to declare any perceived or real conflicts of interest at every stage of this procurement process.

These individuals or organisations may not be invited to be included in an AmplifyChange procurement process:
- They are bankrupt or being wound up or are subject to an administration order.
- They have otherwise suspended business activities, are subject of proceedings concerning those matters, or have breached legal or regulatory conditions.
- They or those with powers over control and decisionmaking have been convicted of an offence concerning their professional conduct.
- They have been guilty of proven grave professional misconduct.
- They have not fulfilled obligations relating to the payment of social security contributions or taxes.
- They or those with powers over control and decisionmaking have been convicted for fraud, corruption, involvement in a criminal organisation or money laundering.
- They make use of child labour or forced labour and/or practise discrimination, and/or do not respect the right to freedom of association and the right to organise and engage in collective bargaining pursuant to the core conventions of the International Labour Organization (ILO).
- They do not support the general aims and values of AmplifyChange.
- Have any business relationships with the tobacco industry or affiliates, including accepting payments or receiving support from any tobacco product manufacturer or wholesaler, and/or having business relationships with any person, interest group, advocacy organization, or other business or organization that represents the interest of the tobacco industry.
